About the Role
Schedule and coordinate events, meetings, and appointments for the Ombudsman for Children.
* Manage the calendar, ensuring timely scheduling and logistics coordination.
* Screen and direct phone calls, as well as recording and distributing correspondence.
* Act as the primary point of contact for various stakeholders, including public organisations, media, and event organisers.
Administrative Support
Provide administrative support to the Ombudsman for Children, Management Team, and Corporate Services.
* Draft and manage correspondence, including letters, emails, and reports.
* Organise meetings, gather documents, and attend to logistics.
* Research topics of relevance for the Ombudsman for Children.
* Complete expense claims and procurement administration tasks.
Compliance and Records Management
Maintain accurate records and ensure compliance with relevant policies and procedures.
* Keep up-to-date records in line with electronic filing rules and good records management practices.
* Act as data protection champion for records relating to the Ombudsman for Children.
* Liaise with Finance on payments, purchasing, and procurement requirements.
Requirements
The successful candidate will have:
* At least 3 years of experience as an Executive Assistant or similar role.
* Excellent organisational, diary management, and time management skills.
* Strong IT competency and MS office skills.
* Eligibility to work in Ireland.
