Senior Executive Assistant Required for Temporary Contract in Dublin
The purpose of this role is to provide comprehensive support to the Director, ensuring timely, effective and efficient delivery of their remit.
Responsibilities:
* Diary and Outlook Calendar Management: Provide effective management of the Director's diary and calendar to ensure seamless scheduling and coordination of meetings.
* Meeting Arrangements and Minute Taking: Coordinate meeting arrangements, take minutes and maintain accurate records to facilitate informed decision-making.
* Briefing Papers and Reports: Produce high-quality briefing papers and reports that meet the Director's requirements, ensuring timely delivery and accuracy.
* Administrative and Logistic Support: Anticipate and manage administrative and logistic requirements, ensuring the smooth operation of the Director's office.
* Confidential Correspondence: Manage business correspondence of a highly confidential and sensitive nature, ensuring timely, sensitive and discrete responses within required deadlines.
* Stakeholder Engagement: Coordinate the development and maintenance of the Director's stakeholder engagement plan, collaborating with relevant teams to ensure effective planning and execution.
* Liaison and Communication: Act as liaison contact point between the Director and Directorate staff, ensuring an efficient and effective flow of information and communications.
* Event Management: Assist with and/or coordinate event management, large meeting setups and virtual meetings to ensure seamless execution and a positive user experience.
Requirements:
* Educational Qualification: Third-level degree desirable.
* Relevant Experience: Relevant PA experience, including working on own initiative and as part of a team, in an environment with a varied and heavy workload.
* Operational Knowledge: Good knowledge of operations management, manpower planning and budgetary processes.
* Technical Skills: Excellent skills and experience in MS Office suite of applications, particularly PowerPoint and Excel. Project management and operational risk experience desirable.
* Communication Skills: Strong drafting and report writing skills, excellent verbal and written communication, and ability to relate to senior management, staff and other stakeholders.
