JOB DESCRIPTION
Title: HR Generalist
Reports to: HR Director
Contract Type: Permanent
Hours: Monday to Friday from 0900 to 1700
Location: Cagney Contract Cleaning, Unit 16, The Hub Logistics Park, Bracetown, Dublin 15.
OVERALL RESPONSIBILITY
To work closely with and assist the HR Manager on any HR related issues/projects as required
Train, support the HR Administrator to ensure HR administration runs in an efficient and effective manner
Provide visible and accessible professional HR advise and support to managers and employees
To constantly review processes and procedures in a pro active manner and implement improvements as required
Responsibilities include but are not limited to:
Recruitment
* Provide complete recruitment and selection service including but not limited to
* Working closely with hiring manager to establish current and future recruitment needs
* Provide guidance and assist managers to draw up appropriate job descriptions including person specifications in a timely fashion
* Work with the HR Administrator posts jobs in relevant areas ensuring optimum exposure of candidates to all vacancies
* Assist hiring manager with shortlisting of candidates
* Attend interviews and if required, ensure HR Director is included final stages of recruitment
* Work with Hiring Manager and HR Director and determine offers
* Conduct reference checks on all candidates
* Ensure that all relevant documentation is completed in respect of hiring process
* Ensure internal departments in relation to new hires are notified
* Ensure recruitment status report is up to date at all times
* Work closely with Hiring manager on any issues that may arise during the recruitment process
Support-Employee Relations and Industrial Relation
* Ensure consistent employment advice is provided to Managers and staff on organisational policies, terms and conditions of employment and legislation relating to employment
* Ensure managers comply with Irish employment and HR legislation
* Manage day-to-day local HR issues as required through discussion with line management
* Manage the Grievance and Disciplinary procedures as required. Participate in the preparation for third party hearings.
* Provide general HR support and guidance to staff
Employee Queries
* Respond to employee queries in a timely and professional manner
* Address any concerns and issues that arise ensuring that potential problems are dealt with or escalated in a responsive manner
Administration
Attendance
* Answer leave queries relating to sickness, both uncertified and certified, special leave including but not limited to Maternity Leave, Force Majeure Leave, Bereavement Leave etc
* Ensure all payroll changes are documented and signed off correctly
Performance Management
* Issue three month interim and six month probation review forms and answer any queries that they may have
* Guide and assist managers in dealing with teir team's performance
* Work with HR administrator to ensure the following forms are completed on time and returned in a prompt manner to the HR department
TUPE
* Carry out the TUPE process ensuring continuity from the previous employer
* Adhere to all relevant policies, procedures, and regulatory requirements, ensuring that quality standards are consistently met
* Prepare and maintain accurate records, reports, and documentation as required, ensuring transparency and compliance
* Address any operational issues promptly, providing solutions in line with the company's established practices
Redundancy
* Work with the HR Director in managing the redundancy process.
* Develop a plan: outline the redundancy process, including timelines and criteria for selection.
* Engage with affected employees individually and collectively.
* Apply the agreed criteria fairly to select employees for redundancy.
* Inform employees of their redundancy status, providing clear information about next steps.
* Offer support services and help employees transition to new opportunities.
Other
* Ensuring HR needs are identified and met in the systems including MegaHR and TEAM by Workwave
* Ensure Employee handbook is kept up to date with relevant legislation changes at all times
* Regular review and updating of HR policies and procedures
* To assist in formulation of policies and procedures in line with changing business needs
* To undertake ad hoc HR projects as required
* Assist HR Director with any projects/issues/challenges as they arise
* Assisting the HR Administrator in visas/GNIB Management as required.
* Attend all training as requested including all statutory training
* Adhering to legislation and best practice.
* Dealing with all matters arising in the course of the complete employee life cycle.
Qualifications
Bachelor's degree in human resources, Business Administration, Law, or a related field.
CIPD or equivalent qualification desirable.
PERSON REQUIREMENTS:
* HR Qualification required and CIPD accreditation preferred
* Strong interpersonal skills, incl. verbal and written communication skills
* At least two years relevant work experience and experience in a similar role and/or environment
* Excellent knowledge of Irish employment legislation
* Strategic thinker with the ability to develop and execute employee relations strategies in a fast-paced, dynamic environment
* Background working within unionized companies an advantage
* Strong administration skills, i.e. database management, record keeping
* Significant exposure to restructuring, redundancies, TUPE transfers, changes to terms and conditions, policy changes, with demonstrable experience contributing to and delivering change
* Resilient with a high level of attention to detail
* Ability to gather and analyze information skillfully
* Flexibility and willingness to learn
* Ability to be proactive, use own initiative and work effectively within a fast-paced environment
* Understanding of and commitment to principles of confidentiality
* Highly computer literate: MS Office suite is a must
Other Features of the Job
Please note this post will require some flexibility within working hours and will involve travel within Leinster and limited occasion.
