We are seeking an experienced Department Administrator to work full-time in our dynamic environment.
Key Responsibilities:
* Procure office supplies and IT equipment as required
* Schedule and manage meeting rooms, conference calls, and video meetings
* Create presentations and agendas for meetings as requested
* Record meeting minutes when necessary and distribute them accordingly
* Coordinate catering and procure stationery for meetings
* Assist in planning both routine and spontaneous office events
* Engage in miscellaneous project work and administrative tasks as needed
* Check deliveries as they arrive and verify delivery dockets against purchase orders issued
* Maintain the Site Access System by setting up contractors and updating records
* Provide comprehensive administrative support to various teams
* Assist with Time and Attendance Records and Holiday Balances
* Reconcile expenses accurately
Requirements:
* Prior experience in a Senior Administrator or Executive PA/Department Admin role is essential
* Experience in a multinational environment is advantageous
* Strong written and verbal communication skills
* Proficiency in Microsoft Office (Excel, Word, PowerPoint, Calendar, SharePoint)
* A flexible approach to work and ability to handle multiple priorities in a fast-paced environment
