The role, which reports into the Legal Services Manager, is to support the effective delivery of Legal Services and Legislative Compliance Management across the organisation.
This post holder will have strong administration skills and attention to detail.
In particular, the Officer, Corporate Services – Legal Services will be required to support Personal Data Protection compliancy in order to ensure the organisation in meeting its obligations under the GDPR and the Irish Data Protection Acts.
Job Purpose The Legal Services team within the Corporate Services Division ensure that the organisation has a quality and professional legal advisory service and also ensure the that the organisation has the appropriate measures in place to demonstrate compliancy with a wide range of relevant legislation, with particular attention to the GDPR compliancy.
Job Description Primary Objectives/Key Responsibilities Ensure that the relevant existing processes and procedures being used to ensure the organisation is compliant with key areas of legislation from the outset are effectively managed, monitored and tracked.
This includes maintaining and proactively monitoring compliancy logs, policy and procedural document updates and registers.
In particular, ensure data protection (GDPR) policies and procedures including those relating to Privacy by Design and the Data Screener are being effectively monitored, managed, responded to, logged and reported on.
Ensure data protection Personal Data Subject Access Requests and Data Breach procedures are being effectively monitored, managed, responded to, logged and reported on.
Prepare submissions to the Data Protection Commissioner on behalf of the DPO if required and maintaining all related logs.
Ensure registers of data processing (RoPAs) which record data processing across various divisions/business activities are well managed and kept up to date (as per Article 30 of the GDPR).Produce senior management compliancy reports including reports for the DPO, the Executive Team and the Audit, Risk & Registration Committee.
Liaise with the Learning & Development colleagues to ensure effective delivery of staff training and developing training/briefing content as required on areas of legislative compliance including the GDPR.Support the Legal Services Manager in conducting DPIAs (Data Protection impact Assessments) and LIAs (Legitimate Interest Assessments).Manage and update Legal Services Controller/Processing and Legal Services Data Sharing agreements, working with the Legal Services Manager.
Work with teams across the organisation to ensure they are actively and effectively reducing and removing risks from divisional GDPR risk registers.
Actively manage the Legal Services MyFI content to ensure support information in the form of guides, FAQs and support request forms are meeting the needs of the organisation and updating information as needed.
Effectively manage all Legal Services related queries and issues from staff via the internal Service Desk, ensuring a response with accurate information in a timely manner to full satisfaction.
Keep abreast of any Legal Services data protection related developments stemming from legislative changes and the interpretation of legislation, particularly keep abreast of guidelines from the Data Protection Commission (DPC).Seek to identify improvements in how Legal Services including Data Protection services can be delivered to colleagues and actively work to make those service improvements.
Develop and deliver an annual plan of work (ops plan).Provide staff training, briefings and induction on key areas of legislation using videos, presentations and guides across both a face-to-face and online channel as required.
Identifying opportunities for improvements in how legal services are delivered.
Escalate high risk issues, issues surrounding Personal Data Requests and Legislative Compliance breaches to the Legal Services Manager and the DPO as necessary to ensure timely and appropriate response.
Provide administration support for meetings/workshops/events.
Manage budget and resource as required and ensure all procurement and purchasing is in line with Fáilte Ireland policy.
Generate regular status reports for review by Head of Division.
Work as part of project teams and manage projects as required.
Contract Management and Budget Management Manage 2 external legal service provider contracts including a tender for Intellectual Property Services in 2025.Ensure effective ways of working and reporting are in place with suppliers.
Ensure necessary SLA's are in place.
Manage and report on service quality.
Conduct annual reviews in a timely fashion.
Relationship Management Establish and maintain effective working relationships with internal colleagues across all teams.
Provide regular detailed reports to all stakeholders including the level and evaluation of work activity.
Identify issues and act appropriately to address these issues.
Advise colleagues of issues and/or risks to client relationships as soon as they arise so risks can be managed effectively.
Carry out all other duties as required and participate as a full member of the Corporate Services team by supporting different work projects, as required, from time to time.
Person Specification Essential Criteria In order to be eligible to apply for this role you must have / demonstrate in your application form the following: A minimum of 3 years relevant experience.
A working knowledge of the legislative environment.
A good understanding of Data Protection legislation.
Proficient in MS Office.
Qualifications/Mandatory Training A professional qualification (minimum Level 6 under the QQI Framework) in a related discipline is essential.
Desirable Criteria Relevant experience in the area of compliance and regulation.
Working knowledge of PowerBI as a reporting tool.
An understanding of how CRM systems process/store personal data.
GDPR certification/qualification.

SALARY Salary:
€55,693 - €79,643* per annum (pro-rata)
*This role will be filled in line with Public Pay Policy at Point 1 of the relevant Salary Scale unless the successful candidate is appointed from an existing public sector role.
