Key Responsibilities: Managing the monthly invoicing process, ensuring compliance with client requirements.
Collaborating with the Credit Control team to handle invoicing queries and outstanding payments.
Assisting with client onboarding, including preparing Letters of Engagement and maintaining electronic files.
Producing accurate emails and documents with high attention to detail.
Coordinating travel and accommodation arrangements for partners and team members.
Supporting business development initiatives and related administrative tasks.
Handling diary and email management, proactively addressing any necessary actions.
Arranging and managing MS Teams conference calls.
Processing expenses for allocated staff.
Creating and coordinating professional PowerPoint presentations.
Collaborating with IT to organize meetings and seminars.
Updating and managing lawyers CPD (Continuing Professional Development) records.
Maintaining and managing the Client Relationship Database.
Skills and Attributes: The ideal candidate will have: At least 6 years of experience as a Legal PA, supporting senior staff in a professional services setting.
Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and familiarity with document management systems such as iManage.
A post-secondary qualification (e.g., a diploma or certificate in secretarial studies); however, significant relevant work experience may be considered in lieu.
Exceptional organizational skills with keen attention to detail and accuracy.
A high level of integrity, discretion, and trust when handling confidential information.
The ability to work both independently and collaboratively as part of a team.
An adaptable approach to work, with a willingness to support various partners and team members.
