About the Role
The Reception and Facility Cover role involves providing services on multiple client sites. As a Receptionist, you will be the face of the client site and represent the company.
You must possess excellent organizational skills, be able to prioritize workloads, and work effectively under deadlines in a fast-paced environment. A high level of attention to detail is essential.
A strong customer service background with excellent time management skills, IT literacy, and proficiency in MS Office are also required. The ideal candidate should have an extremely professional manner and always present themselves well.
Key Responsibilities:
* Provide reception and facility cover services on multiple client sites.
* Assist in the management of the facilities function.
* Receive training on multiple sites and become familiar with Standard Operating Procedures (SOPs).
* Implement permit-to-work systems for contractors.
* Review and log cleaning calls in the diary kept at reception.
* Handle incoming and outgoing deliveries, general administration, and ad hoc projects as required.
* Report maintenance issues, assist in emergencies, identify and report hazards and incidents, and coordinate facilities requests from employees.
* Schedule PPM works and ensure timely completion.
* Maintain accurate records of works carried out and report to line manager.
Working Requirements:
* Flexible working including weekends and after hours when requested.
* Keeping up-to-date records of all services and purchases and reporting to line manager.
* Near miss and incident reporting.
Skills Required:

* Able to work independently and as part of a team.
* Customer service experience with excellent time management.
* Excellent phone manner, communication, and interpersonal skills.
* IT literate with expertise in MS Office.
