Legal Administrator Our client in Dublin 22 are looking for a strong Administrator / Front-Line Person for a critical role within their company. As Office Administrator you will be responsible for the efficient operation of administrative functions and provide front-line support to their clients. This position ensures seamless communication, coordination and support for both clients & colleagues. You will need to have a minimum of 5 years experience working in a fast paced office environment being highly organised with an ability to multi task. Salary and Benefits: Salary €35k+ (Negotiable) Onsite parking Working Monday Friday 8.30am 5pm Key Responsibilities: Serving as the first point of contact for clients, providing a welcoming and supportive environment, answer and direct phone calls, emails, and other inquiries promptly and professionally. This includes addressing client concerns and escalate issues to appropriate case managers or supervisors as needed. Scheduling and Coordination of appointments, meetings, including logistics and preparation of materials for CEO, operations manager, clients and case managers. Provide administrative support to case managers and other staff members including assisting clients with paperwork, applications, and other administrative tasks and facilitating communication between clients and case managers. Intermediate to advanced knowledge and ability to complete word processing tasks (correspondence, reports, memos, proposals, charts, agreements, PowerPoint presentations) including composing and type complex correspondence (using Word) Managing Client Records including maintaining accurate and up-to-date client records and case files and ensuring compliance with confidentiality and data protection regulations. Also assisting in the preparation and updating of client documentation. Assisting in organising events, workshops, and training sessions. Office management to include overseeing daily office operations to ensure a smooth workflow, maintenances of office supplies inventory and place orders as needed and coordinating maintenance and repair of office equipment. Respond to client emergencies with calm and efficient action and coordinating immediate support and resources for clients in crisis. Represent the company at community events and meetings, building and maintaining relationships with community partners and stakeholders and assist in the development of outreach materials and campaigns including digital marketing campaigns Managing daily calendars through MS Outlook and coordinate / Plan organisational events Updating Social Media, blog posts across various platforms. Maintain filing system, correspondence, documents and personal files and performing administrative duties in an efficient and timely manner Any other duties as requested by CEO/Operations Manager Essential Requirements: 5 years of consistent Administration experience is essential Highly Organisational with an ability to multitask Strong Communications System Savy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) with a minimum of 40wpm. High level of integrity and ethical standards. Ability to maintain confidentiality and handle sensitive information. Certification in Office Administration, Business Administration or Medical Administration, or related fields is a plus.
