Hiring: Administrative Assistant

Experis have partnered with a Global tech giant who seeking an Administrative Assistant to provide administration support to the Engineering, Procurement and Construction EMEA team.

Responsibilities:
The Administrative Support Specialist will provide comprehensive assistance to a team of 50+ members, ensuring smooth daily operations and efficient coordination across the department.
Key Responsibilities:
Team Support:
* Provide day-to-day administrative assistance to the entire team.
* Schedule meetings for leadership, including calendar management, room bookings, note-taking, and follow-up on action items.
* Handle travel arrangements and visa applications for the leadership team.
* Prepare and process expense claims accurately and on time.
Procurement and Financial Support:
* Assist with procurement processes, including creating purchase orders, uploading contracts for digital signatures, and submitting single payment requests.
* Organize and store documentation to support audits.
* Set up new vendors and track hardware assets within budget guidelines.
* Educate team members on accrual responsibilities and payment processes.
Event Coordination:
* Plan and manage logistics for events such as team offsites, all-hands meetings, and senior executive visits.
* Coordinate team morale activities from start to finish.
Onboarding New Hires:
* Ensure new team members receive devices, peripherals, and relevant onboarding resources.
* Provide guidance on internal tools and processes.
* Update the organizational chart to reflect team changes.
Operational Support:
* Maintain distribution lists and team aliases.
* Manage and update team collaboration platforms, including Teams and SharePoint.
* Liaise with facility services to resolve workspace issues.
* Support ad-hoc projects and initiatives as needed.
Requirements:
* At least 3 years of proven experience in a Personal Assistant or Group Administrator role.
* Proficiency in Microsoft tools, including Outlook, Office, and Teams.
* Strong organizational and planning abilities, with a knack for prioritizing tasks and problem-solving in dynamic, ambiguous situations.
* A motivated, adaptable individual who can perform well under pressure and meet tight deadlines.
* Excellent verbal and written communication skills.
* Demonstrates a high level of integrity, confidentiality, and discretion.
* Familiarity with purchase order (PO) management and finance practices is advantageous.
* Strong interpersonal skills with the ability to collaborate effectively across teams while respecting diverse perspectives and work styles.
