Job Title: Executive Assistant Based in Dublin 4 - Immediate Start
We are seeking an experienced and skilled Executive Assistant to provide high-level administrative support to the Director of HR Directorate.
The role will focus on developing and delivering management and reporting processes, ensuring programme deliverables outlined in the annual business plans are achieved.
Key Responsibilities:
* Act as a gatekeeper and first point of contact for partners and clients.
* Provide administrative support to key members of the HR team.
* Manage the Director's diary and planning through prioritization of appointments.
* Deal with calls and correspondence from clients and colleagues in a professional manner.
* Organize internal and external meetings.
* Maintain client contact information within the CRM system.
* Develop and maintain templates for key client documents.
* Liaise with the Client Take On Team to ensure efficient onboarding of clients.
* Manage all correspondence.
* Take minutes at key team meetings.
* Prepare presentation slides and materials using PowerPoint.
* Assist with business continuity planning.
* Coordinate and manage special projects as required.
* Perform various ad-hoc administration duties.
Essential Requirements:
* A degree or postgraduate qualification at a minimum of level 7 on the National Framework of Qualifications.
* At least 3 years' experience in executive assistant support to C-suite level or a similar area.
* Well-developed IT skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
* Exceptional attention to detail and communication skills.
* Ability to adapt to changes in the working environment while meeting tight deadlines.
* Experience handling confidential information, demonstrating high levels of integrity and discretion.
