Job Title: Service & Administrative Coordinator
Location: Waterford, Ireland
Job Type: Full-Time or Part-Time (minimum 24 hours per week)
Job Summary:
We are looking for a highly organised and proactive Service & Administrative Coordinator to support our operations in Waterford. This role involves managing service contracts, coordinating with our engineer, handling order fulfilment and shipping, and carrying out general administrative tasks. The ideal candidate will have strong organisational skills and the ability to multitask effectively.
Key Responsibilities:
Service Contract Management
* Oversee and maintain service agreements with customers.
* Schedule maintenance and coordinate with the engineers to ensure timely service delivery.
* Track contract renewals and follow up with clients as needed.
* Maintain accurate records of all service-related activities.
Quotations, Order Processing & Shipping
* Process and fulfil customer orders efficiently.
* Coordinate with shipping providers to ensure timely delivery.
* Track shipments and update customers on order status.
* Maintain stock records and report levels when necessary.
Administrative Support
* Carry out general office tasks such as data entry, documentation, and filing.
* Update and maintain databases (CRM), ensuring accuracy and confidentiality.
* Assist with invoicing and purchase orders processing.
* Respond to customer enquiries via email and phone.
* Support other departments as needed to ensure smooth business operations.
Requirements:
* Proven experience in administration, operations, or customer service.
* Strong organisational and multitasking abilities.
* Excellent communication skills, both written and verbal.
* Proficiency in Microsoft Office (Word, Excel, Outlook) and other office tools.
* Ability to work independently as well as part of a team.
* Prior experience in logistics or service coordination is a plus but not essential.
* Knowledge of ACT! CRM and SAGE is a plus but not essential.
