Job Purpose
We are seeking a detail-oriented and proactive HR Administrator to support the HR team with key administrative tasks, recruitment processes, and employee lifecycle management. The successful candidate will play a vital role in maintaining HR records, issuing contracts, handling employee changes, and ensuring the smooth operation of HR processes.
Key Responsibilities
Recruitment & Onboarding:
* Support the internal recruitment team, utilise the EPLOY recruitment platform to manage vacancies, candidate applications, and interview scheduling if required.
* Assist in the onboarding process, including issuing offer letters and contracts.
* Ensure all necessary pre-employment checks are completed in a timely manner.
HR Administration
* Maintain and manage the HR mailbox, ensuring queries are directed to the appropriate HR team member.
* Prepare and issue contract variations and letters related to changes in terms and conditions.
* Complete and process forms for payroll changes, ensuring accuracy and timely submission.
* Input and update employee data on Workday HRIS.
* Maintain accurate and up-to-date employee records, ensuring compliance with data protection regulations.
Compliance & Policies
* Ensuring compliance with employment laws and company policies.
* Assisting with policy updates and communication to employees.
Employee Relations Support
* Supporting HR with employee relations cases (e.g., grievances, disciplinaries, absence management).
* Helping to arrange meetings, taking minutes, or preparing documentation for hearings.
* Coordinating/ helping HR initiatives like employee engagement surveys, wellness programs, or company events.
System & Process Improvements
* Contributing to improving HR systems and processes for efficiency.
Project & General Support
* Assist with HR projects and administrative tasks, ensuring key deadlines are met.
* Provide administrative support across HR functions as required.
* Assist in the production of HR reports and data analysis when necessary.
Skills & Experience Required
* Previous experience in an HR administration role, with exposure to contracts and employee changes.
* Familiarity with EPLOY recruitment platform and Workday HRIS (or similar HR systems).
* Strong organisational skills with the ability to prioritize tasks and meet deadlines.
* Excellent attention to detail and accuracy in data entry.
* Strong written and verbal communication skills.
* Ability to handle confidential information with discretion.
* A proactive approach to problem-solving and supporting the HR team.
