Job Title: Experienced Co-ordinator / Planner Administrator
Role Overview:
The role of an Experienced Co-ordinator / Planner Administrator is a key position within our team, responsible for coordinating and planning administrative tasks. This individual will work closely with customers, sales and service teams to ensure seamless execution of daily activities.
Key Responsibilities:
1. Liaise with customers regarding scheduling services and validation of hospital equipment, ensuring timely and efficient communication.
2. Manage day-to-day interactions with HSE and private hospital groups, prioritizing their needs and resolving any issues that may arise.
3. Review and file reports from service engineers, maintaining accurate records and meeting reporting deadlines.
4. Send daily job assignments to customers, ensuring they are informed and up-to-date on all aspects of the service.
5. Prepare and distribute validation reports to customers, providing them with critical information about the status of their equipment.
6. Process daily service orders using Microsoft Dynamics, leveraging this technology to optimize workflows and improve efficiency.
7. Generate monthly service reports, analyzing data and trends to inform business decisions.
8. Conduct regular reporting processes in line with established KPIs, tracking performance and identifying areas for improvement.
9. Support the Sales and Service team by providing administrative assistance and helping to resolve field-based issues.
10. Handle incoming and outgoing correspondence, including postal mail and courier services, ensuring prompt and professional communication.
Requirements:
- Communicate company policies effectively to external parties, demonstrating a positive and professional demeanor.
- Proficiency in Microsoft Dynamics is advantageous, but not mandatory; however, knowledge of Microsoft Suite is essential.
- Excellent customer service skills, combined with strong communication and teamwork abilities, are vital for success in this role.
