DRC General Secretariat Student Assistant

Who are we?
The Secretary General’s office is a small team, supporting the Secretary General and overall governance of DRC. This includes facilitating meetings of the Executive Management Team, the Board of Directors, and the Council of DRC, as well as coordinating closely with departments and regions across DRC on strategic projects.
About the job
The student assistant will become part of the Secretary General’s office and will assist in various administrative tasks and provide ad hoc support on a wide range of issues.
The tasks will include, but are not limited to:
* Support preparation of the Secretary General’s travels, including managing expense reports in Microsoft Dynamics ERP.
* Handle document legalization, including notarization, apostilles, and coordination with embassies and translation services.
* Update internal communication platforms and support planning and execution of global meetings.
* Filing and archiving of key documents and maintaining the General Secretariat's SharePoint file system.
* Provide logistical support for events such as celebrations, receptions, and internal seminars.
* Handle ad hoc administrative tasks, including document signatures, preparing reports, and logistical support for council meetings.

About you
Your field of study is not paramount, but it will most likely be within social sciences, political sciences, law, communication, and/or international affairs.
To apply for the student assistant position, you must meet the following requirements:
* Be enrolled in a university program during the period of your employment in DRC.
* Confirm that you have the required permits to work and live in Denmark.
* Have full professional proficiency in Danish and English; basic knowledge of French or Spanish is desirable.
* Have the ability to navigate a challenging environment and handle complex tasks and sensitive information.
Moreover, we also expect the following:
* Have an eye for detail and excellent written and verbal communication skills.
* Demonstrate an interest in international affairs and humanitarian assistance.
* Being an experienced user of the MS Office Suite; experience with Microsoft Office365, Dynamics, Teams, and SharePoint is an advantage.
* Show strong organizational skills with the ability to balance and prioritize multiple tasks at the same time.
* Have a flair for communication, information management and administrative tasks.
* Be a team player with excellent interpersonal and intercultural skills.

We offer
Contract length: This is a permanent position (though subject to being enrolled in a university), and we are therefore looking for a student assistant who will not finalize their studies before Summer 2026.
Working hours: 15 hours per week. The working hours should preferably be split between 3 working days per week and within normal office hours from 8:00 to 17:00.
Workplace: As a student assistant, you will be working at the Danish Refugee Council’s headquarters in Copenhagen.
Start date: Early February 2025.
Salary and conditions will be in accordance with the agreement between DRC and HK. This is a national position for which local terms and conditions apply.
