Job DescriptionThis role will report to the Executive Assistant of VP Site Operations.
The role holder will provide effective and efficient support to the site leadership team (SLT) including diary management within a fast paced and rapidly changing environment, executive communications, travel arrangements and other tasks that will be assigned from time to time.
The key responsibilities include but are not limited to:
Providing Admin support to the SLT, scheduling and management of appointments and meetings within a rapidly changing environmentProvide high quality executive admin support, including generation of presentations, management of various SharePoint sites and other management systems and toolsLiaise with Stakeholders across the ADL site and wider Amgen network, including members of the ADL SLT and also the OLT within the Ops NetworkSupports with internal and external communication (such as updates, announcements, releases, presentations, site standards and governance), using diverse Amgen channels and technologyDiary management and organisation of travel arrangementsFinancial Administration (purchase orders, invoices, expenses)Production of weekly cascade communication for ADL siteSupport Senior Leadership site visitsEnsure a consistent and proactive approach to supporting designated Senior Leaders across the site through the wider AC team.Key AttributesStrong verbal and written communication skills with a strong attention to detailExcellent literacy and numeracy skills with a strong attention to detailCompetent in MS office tools (Word, Outlook, PowerPoint & Excel)Demonstrated ability in the use of IT systems and packages, including Concur, SAP, Ariba, SoftworksVery experienced in organising meetings & events, managing multiple stakeholders and priorities at any one timeExperience of External stakeholder engagementLeadership and coachingCapable of working on own initiative and being proactive when taking on duties and tasksBe capable of working on their own and as part of a team, while exercising a high level of judgement, confidentiality and discretion at all timesTask Prioritisation – proactively manage competing priorities in a fast-paced environment.ExperienceExperience in a similar role (1-2 years minimum)
