Role Overview:
Abrivia have a fantastic opportunity for an Office Coordinator to join our client, a global leader based in Dublin. If you’re a proactive, dynamic professional eager to support a high-performing team this is the perfect role for you!
This role is 4 days a week in the office and one work from home. It includes a generous starting salary, excellent health care and pension plans.
Key Responsibilities:
* Work closely with the Executive Management Team, acting as a proactive gatekeeper and managing schedules.
* Support teams with administrative tasks such as organising team meetings, preparing reports, capturing minutes, tracking actions, and assembling presentations
* Manage emails, screen calls, handle inquiries, and action incoming communications.
* Oversee diary management, travel arrangements, accommodation, transfers, and itineraries.
* Prepare rooms for meetings and events, ensuring all spaces are pristine and ready for action.
* Organise company events, from internal gatherings to external client and broker functions.
* Be the first point of contact for visitors.
* Manage post distribution, arrange couriers, and oversee the business taxi account.
* Oversee team expense
* Manage kitchen supplies and ensure efficient, cost-conscious inventory control.
* Oversee the onboarding process for new employees
* Conduct quarterly checks of First Aid Boxes and support other health and safety requirements.
* Ensure the office remains clean, functional, and well-maintained by coordinating with service providers for repairs and upkeep.
* Assist other teams with ad hoc projects, showcasing your versatility and team spirit.
Skills and Qualifications:
* Experienced administrator with Proven track record in a busy office environment.
* ExcellentMicrosoft Office skills and experienced with SharePoint and SAP
* Outstanding communication skills, capable of engaging at all organisational levels.
* Excels in fast-paced environments and meets deadlines with ease.
* Maintains the highest standards of discretion, confidentiality, and sensitivity.
* Exceptional time management and multi-tasking skills.
* A keen eye for detail that ensures excellence in every task.
