Job Description:
The Executive Assistant will provide comprehensive administrative, organisational, and operational support to the Chief Executive.
You will possess exceptional interpersonal and communication skills, coupled with a keen eye for detail. The successful applicant will be responsible for managing schedules, coordinating meetings, handling sensitive information, and providing administrative assistance as required.
This role can be hybrid working if required.
About The Role
Diary and Travel Management:
Proactive Scheduling: Manage calendar with meticulous precision, ensuring appointments are strategically scheduled, maximising efficiency and minimising conflicts.
Travel Coordination: Expertly arrange all travel plans, including flights, accommodation, and transportation, securing the best options while adhering to budget constraints and personal preferences.
Availability & Communication: Maintain a constant awareness of availability, proactively updating relevant parties and ensuring clear and timely communication regarding appointments and travel arrangements.
Communication Management:
Gatekeeper and Liaison: Serve as the primary point of contact, managing all inquiries from external stakeholders, effectively handling inquiries, filtering information, and arranging follow-up where required.
Correspondence & Reporting: Prepare and meticulously proofread all correspondence, reports, and presentations, ensuring clarity, accuracy, and professional presentation.
Meeting Support: Efficiently organise and coordinate meetings, including scheduling, preparing agendas, and taking detailed minutes.
Administrative Support:
Project Management: Provide administrative support for key projects, including task management, documentation, and follow-up, ensuring smooth project progress.
Research & Information Gathering: Proactively research topics and compile relevant information, providing timely and accurate reports to support decision-making.
Office Management: Handle office administrative tasks, including managing office supplies, maintaining files, and overseeing office equipment.
Strategic Initiative & Proactive Support:
Anticipating Needs: Demonstrate a keen understanding of needs and priorities, anticipating requirements and proactively taking initiative to streamline processes and ensure smooth workflow.
Problem-Solving: Identify and address potential issues before they arise, seeking solutions to challenges and ensuring seamless operations.
Continuous Improvement: Contribute to developing and streamlining administrative processes, constantly seeking opportunities to enhance efficiency and effectiveness.
