The Executive Assistant to the Provost & Vice President for Academic Affairs supports the Provost & VPAA's office necessary for him/her to attend to the larger issues of the University. The Provost & VPAA maintains academic oversight for LIU’s thirteen schools and colleges located on Long Island, Brooklyn and the Hudson Valley.
The Executive Assistant plays a critical role and linkage to the school and college Deans, administrative offices, and faculty regarding a multitude of issues. The role will be responsible for synthesis of information for the office of the Provost & VPAA and multiple audiences.
Responsibilities Include:
1. Executive Communications: Manage executive correspondence and email to University stakeholders and other constituencies. Draft University-wide emails on behalf of the office of the Provost & VPAA. Create PowerPoint and other presentation materials.
2. Faculty Management: Administer processes for Sabbatical, Non-Tenure Track Faculty, Senior Professor, and Promotion and Tenure applications as per the campus Collective Bargaining Agreements. In addition, oversee the LIUFF Professional Development Fund. Create and maintain academic affairs calendars, applications, and forms.
3. Committee Meeting Management: Manage agendas and meeting minutes related to monthly and quarterly University committees including University-wide Deans, Academic Affairs Board of Trustees, Strategic Planning, and Campus Leadership Councils.
4. Human Resources Operations: Oversee annual faculty line request process and criteria. Partner with deans on faculty hiring procedures for all LIU schools and colleges.
5. Special Projects: Handle miscellaneous, confidential high-level projects on behalf of the office of the Provost & VPAA from inception to completion.
Qualifications:
Bachelor’s degree required. Masters preferred. Applicants must pay attention to detail; excellent organizational and oral and written communication skills are essential; must have the ability to collaborate, manage and work well with diverse groups; familiarity with higher education structures, governance practices, and budgeting processes preferred; strong research skills and ability to apply collect information to the development and revision of policies and practices; and sensitivity, discretion, and ability to effectively delegate issues. Candidates must be able to make decisions based on an understanding of and commitment to institutional mission and priorities. Familiarity with Microsoft Office and SharePoint preferred.
Special Information:
Travel to other campuses will be required.
