Job Description
Summary
This is a permanent position for an experienced Dispatch and Service Administrator to coordinate and manage service operations in a busy team.
Duties of the Role
1. Coordinate daily schedules for service engineers based on customer requirements, engineer availability, and job priority.
2. Monitor real-time job progress and adjust schedules as necessary to meet deadlines.
3. Allocate resources effectively to optimize coverage and minimize downtime.
4. Serve as the first point of contact for service requests and enquiries.
5. Communicate effectively with customers to confirm service appointments and updates.
6. Address customer complaints or issues, escalating to the appropriate team if necessary.
7. Maintain accurate records of service calls, including job details, engineer assignments, and completion times.
8. Prepare and update reports on service performance metrics.
9. Assist with invoicing and follow-up on outstanding payments related to service jobs.
10. Liaise with engineers to ensure they are informed of job details, site access requirements, and any specific tools or parts needed.
11. Communicate updates and changes promptly to both engineers and customers.
12. Coordinate with the parts and inventory team to ensure availability of required materials for service jobs.
The Ideal Candidate
1. Proven experience in a similar role, such as dispatching or scheduling.
2. Strong organizational and time management skills.
3. Excellent verbal and written communication abilities.
4. Proficiency in using scheduling software and Microsoft Office Suite.
5. Good geographical knowledge.
Requirements: Permanent position, 5 days office based. Salary circa €37,000 pa, plus generous bonuses and pension.
