Role Purpose:
In this role, the Executive Assistant will report directly to the Chief of Staff, who will serve as a mentor and guide, providing strategic direction and professional development opportunities. The EA will primarily support the Group Technical Director in managing day-to-day activities, including scheduling, communication, and project coordination. This dual reporting structure ensures that the EA not only contributes effectively to the Group Technical Director’s operations but also benefits from the Chief of Staff’s mentorship, encouraging growth and enhancing their skills in a dynamic and supportive environment.
The Executive Assistant (EA) will provide high-level administrative support to the Group Technical Director and other members of the executive team. The EA will manage schedules, coordinate meetings, handle communication, and perform various tasks to ensure the smooth running of daily operations. This role requires exceptional organisational skills, discretion, and the ability to work in a fast-paced environment.
Key Duties and Responsibilities:
* Diary Management: Manage and coordinate the Group Technical Director’s schedule, including meetings, appointments, and travel arrangements.
* Communication: Handle incoming and outgoing communication on behalf of the Group Technical Director, including emails, phone calls, and correspondence. Prioritise and respond to requests, ensuring timely follow-up.
* Meeting Coordination: Prepare for meetings by gathering materials, creating agendas, and documenting minutes. Follow up on action items to ensure completion.
* Travel Arrangements: Organise and manage complex travel plans, including flights, accommodation, itineraries, and visas.
* Document Management: Prepare, edit, and maintain documents, reports, presentations, and other materials as required.
* Project Management: Assist with special projects, including research, data collection, and coordination of cross-functional teams.
* Confidentiality: Handle sensitive information with the utmost discretion and maintain confidentiality at all times.
* Relationship Management: Build and maintain strong relationships with internal and external stakeholders, acting as a liaison between the executive and various departments.
Qualifications:
Education: Bachelor’s degree preferred, or equivalent experience.
Experience: Minimum of 2 years of experience in an executive assistant or similar role, preferably in a corporate environment.
Skills:
· Organisational Skills: Exceptional ability to manage multiple tasks, prioritise, and meet deadlines.
· Communication Skills: Excellent verbal and written communication skills, with attention to detail.
· Technological Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management and communication tools.
· Problem-Solving: Strong analytical skills and the ability to anticipate needs and proactively address challenges.
· Interpersonal Skills: Professional demeanour, with the ability to build relationships and work collaboratively with diverse teams.
· Discretion: Demonstrated ability to handle confidential information with integrity and professionalism.
· Availability: Flexibility to work outside regular business hours as needed.

Pay: €40,000.00-€50,000.00 per year
