Base Pay Range
We are recruiting an Accounts & Administration Officer to work part-time for a non-profit religious organisation.
Location: D2, with occasional requirements to be at D4 location with the Bursar.
Salary: €40-45k pro rata for 3 days per week (option of 1 day at home).
Objective:
* To take full responsibility for your work in the Provincial Bursars office and the community involved.
* The Accounts & Administration Officer will be highly organised, hardworking, and self-motivated in order to ensure the smooth running of accounts and administration functions of the Community and Provincial Bursars office. You will need to work with your line manager with minimal direct supervision. You will need to demonstrate excellent time management and organisation skills. You will be comfortable with Sage accounts, Microsoft 365, and general office operations and have a good understanding of basic accounting principles. You will have good people and community skills to best work with the other staff and the members of the Order. Uphold the highest standards of honesty and integrity and have respect for the faith-based environment and ethos of the Order.
Role & Responsibility:
* Attend to the banking transactions of the Community accounts offices and all associated banking and compliance administration for the bank accounts and debit/credit cards.
* Maintain the accounting records for the Community in Sage.
* Prepare the Community Income & Expenditure accounts on a quarterly basis or as requested for submission to the Provincial Bursars office.
* Provide quarterly Income & Expenditure accounts to the Prior and present the accounts to the members of the community at a meeting.
* Prepare month-end bank reconciliation for all bank accounts.
* Arrange for payments to all suppliers through online banking.
* Assist the Finance Manager with the preparation of year-end accounts.
* Responsible for the safekeeping of the financial and administration records.
* Work with the auditors to assist with the annual reviews/audits of the community accounts.
* Assist the community with administration duties in relation to state pension applications.
* Oversee the operations and processes in the cash office ensuring safety, security, and compliance in all cash-related matters.
* Adhere to the Financial Policies of the Order, particularly the correct signing off procedure for invoice payments, credit cards, and bank reconciliations.
* Manage the bank accounts of the community and prepare any forms for submission of changes to the banks on the instructions of the Provincial Bursars office.
Administration:
* Work with the Provincial Bursar to implement all of the policies of the Order in the Community.
* Use the Clarendon SharePoint for all accounts and administration soft copy files.
* Collect and send rosters to the Provincial Bursars office in a timely manner each week.
* Take responsibility for the recording of annual sick leave for all employees in the Community.
* Contact the Provincial Bursars office to arrange all staff training in the Community as directed.
* Work in collaboration with the Provincial Bursar's office team in all matters relating to bookkeeping, accounting issues, insurance issues, or employment issues.
* Work with the Mass Shop assistants to assist them in providing an accurate year-end stock count.
* Assist the Provincial Bursars office in implementing the IT policies in the Community.
* Assist with simple IT issues and arrange for all other IT issues to be resolved with assistance from the IT provider.
* Collaborate with the Provincial Bursars office to ensure that the correct GDPR processes and procedures are being adhered to in the Community.
Core Competencies Required:
* Proficient in Sage Accounts.
* Good organisational, scheduling, and time management skills.
* Ability to multitask.
* Work independently but also as a team.
* Minimum 3-4 years previous general accounts experience.
* Good communication skills, fluent and clear.
