The Installation Support Administrator provides essential support to our solar installation team, helping to ensure projects run smoothly from start to finish. This position involves compiling project plans from information provided by the surveying team, organising orders, and keeping everyone informed, blending organisation, communication, and teamwork to keep our projects on track. This hybrid role allows for flexibility, with the option to work from home four days a week and spend one day in the office to connect with the team.
Key Responsibilities:
1. Preparing Project Plan Documents
o Compile and organise project plans, including schedules and basic layouts, based on details provided by the surveying team.
o Ensure all plan documents are clear, up-to-date, and accessible for the project team.
o Track updates or changes to the project plan and communicate them to the necessary team members.
2. Ordering and Tracking Supplies
o Place orders for materials and equipment needed for each project, following simple procedures.
o Communicate with suppliers to confirm delivery dates and ensure everything stays on schedule.
o Keep the project team updated on the status of materials and any changes to delivery timelines.
3. Communication and Team Assistance
o Act as the go-to person for keeping office teams and field staff connected and informed.
o Handle questions, share important project updates, and make sure everyone has the information they need to stay on track.
o Participate in project meetings to provide updates on schedules, materials, and additional support needs.
4. Keeping Records and Reporting
o Organise project records, including orders, schedules, and other important documents.
o Prepare simple updates on the status of projects, materials, and any key information for the project manager.
o Identify ways to make the support process smoother and more efficient.
Requirements:
* Previous experience in an administrative or support role is ideal but not essential.
* Comfortable using basic office software like Word and Excel.
* Excellent written and verbal communication skills.
Skills and Abilities:
* Strong organisational skills with a good eye for detail.
* Clear communication skills to keep things simple and straightforward.
* A willingness to learn about project management and enjoy working as part of a team.
Preferred Qualifications:
* Familiarity with ordering supplies or working with suppliers is a plus but not required.
