The role of a Grade IV Officer - Medical Clinical Secretary involves providing administrative support to the Directorate. Key responsibilities include preparing and sitting clinics, booking appointments, answering phones, tracking referrals and charts, filing and retrieving documents, and maintaining databases.
Key Responsibilities
Clinic Support: Prepare clinical paperwork for Nurse Led and Consultant Led Clinics. Track all new referrals onto BHIS, and obtain necessary documents and test results requested by General Practitioners, Referring Consultants, and Referring Hospitals.
Administrative Tasks: Schedule meetings, maintain departmental files and records, collect and record information on hospital and departmental databases ensuring data integrity, compile and distribute reports, and monitor and maintain office equipment and supply inventory.
Contact with Patients: Contact patients prior to their appointment to confirm attendance.
Typoscipting and Email: Transcribe and type materials, proofread, and edit for grammar, punctuation, and spelling. Monitor departmental email and manage queries through to completion.
Office Etiquette: Maintain professionalism, good office procedures, and handle all telephone inquiries professionally.
Mandatory Training: Must be up to date at all times. Undertake training as necessary to ensure efficient work practices.
Competencies: Effective communication, transcription, and organizational skills are essential.
