Job Title: Facilities Coordinator (General Maintenance)
We are currently recruiting for a Facilities Coordinator based in Dublin 2 to join a dynamic team on a temporary basis with potential to extend.
About the Role:
In this role, you will be responsible for managing the daily facilities operations and supporting the Facilities Management team to ensure the smooth running of the office space.
Key Responsibilities:
* Conducting daily site checks and walkthroughs of office floors, critical areas (comms rooms, plant rooms), and other facilities.
* Reporting findings and coordinating with the Facilities Management team to raise and close out tickets on the Facilities Help Desk system.
* Responding promptly to requests and tickets raised by staff through the Help Desk system.
* Coordinating contractors on-site, ensuring they adhere to health & safety standards and completing necessary documentation (Permit to Work).
* Supporting room setups for meetings, events, and business units as required.
* Overseeing porterage duties, including moving heavy parcels, equipment, and miscellaneous items.
* Assisting with minor repairs (e.g., replacing lamps and fixing building fabric) and arranging for more significant maintenance work as necessary.
* Supervising office moves and changes, including larger projects, and assisting outside normal working hours when required.
* Conducting regular audits of plant equipment, office furniture, and supplies to ensure stock levels and critical spares are maintained.
* Running weekly fire alarm tests and maintaining safety checks on-site.
* Providing ad-hoc support and responding to emergency situations (e.g., leaks) outside of core working hours.
Requirements:
* Experience in a similar facilities role, ideally within a fast-paced office or commercial environment.
* A good understanding of Health & Safety regulations and the ability to oversee contractor compliance.
* Strong organisational and communication skills with the ability to manage multiple tasks simultaneously.
* Knowledge of basic electrical and mechanical systems and troubleshooting.
* Proficient in using MS Office (Outlook, Word, Excel) for reporting and tracking.
* Ability to work independently as well as part of a team.
* A valid Safe Pass, Fire Warden, or First Aider certification is desirable.
