We are currently recruiting for a Full time Finance Administrator for our headquarters in Naas. The key objective of the Finance Administrator will be to accurately invoice Clients in accordance with contracted terms and services provided. The candidate must demonstrate ability to work on their own initiative and be flexible.
Monday to Friday role, 8.30am to 5pm (finishing at 4pm Friday)
Key Responsibilities:
Relationships
1. Develop and maintain a close relationship with the Financial Controller.
2. Develop and maintain a close relationship with the Contract Managers.
3. Work as a key member of the Finance team, supporting colleagues and the Financial Controller.
4. Scanning of all barcoded documents for billing and reconciling to the internal system (TG).
5. Ensure all Sub-Contractors invoices are reflected in the TG system and match rate card.
6. Update any shift/contract changes on TG for payroll and invoicing.
7. Importing of invoicing date from TG.
8. Checking of hours report to ensure accuracy and following up on any inaccuracies.
9. Preparation, validation and posting of client invoices to the customer account on SAGE.
10. Prepare and corroborate back up data to support client invoices.
11. Sending accurate invoices to Clients in a timely manner.
12. Ad hoc invoicing and cost recharges as required.
13. Examine suspense accounts and follow up on all outstanding issues.
14. Resolution of any customer queries on billing.
Customer Credits
1. Investigation of all credit requests, preparation and posting of all approved credit notes to the customer account on SAGE.
Customer Statements and Maintenance
1. Scanning and mailing of customer statements.
2. Maintenance of customer details for billing in SAGE.
Contracts
1. Ensure Client contracts are set up correctly in TG for invoicing purposes.
Reporting
1. Weekly reports and Ad Hoc reports for the Financial Controller.
The Candidate:
1. Must have a strong accounts background in accounts payable, receivable, bank and payroll.
2. Strong skills in Microsoft Excel & Sage an advantage.
3. Strong IT skills and numerical skills.
4. Time management and communication skills.
