Job Title:Head of Faculty ManagementDepartment:IR0022 Faculty ManagementReporting to:Academic DeanWorking Hours: 37.5 hours per week. A typical working day is 8.45am – 5.15pm but flexibility will be required to occasionally include a weekend day Reports to: Academic Dean Direct Reports: Faculty Managers, Assistant Faculty Managers, Faculty Administrator The Head of Faculty Management is a senior role within the College. Reporting to the Academic Dean, the post holder will be required to operate at a strategic level in the College, proactively planning for developments and academic staffing requirements across multiple student intakes in an academic year. The role will carry first line responsibility for quality of teaching delivery, budget management, contract issues and HR matters in the academic discipline areas. It will be responsible for ensuring the effective operation of faculty management processes and the smooth delivery of academic programmes. This role oversees the Faculty Managers and Assistant Faculty Managers, ensuring that all teaching, programmes, and open events are staffed appropriately while supporting the overall operational efficiency of the academic disciplines. Key Responsibilities Faculty Staffing and Scheduling Staff all classes with high-quality expert teaching staff so as to deliver the best possible student experience and academic outcomes; Staff the timetable in its entirety in a timely fashion such that staff are made aware of their teaching well in advance of commencement; Anticipate future staffing needs based on enrollment projections and programme expansions and strategically plan for resourcing and recruitment needs; Develop and maintain a talent pipeline to ensure a pool of high-quality faculty for current and future needs ;Ensure that all marketing initiatives, including open events and information evenings, taster sessions and external recruitment fairs, are staffed and supported by Faculty.Operational Management Lead the operational management of the academic discipline areas of the College, ensuring smooth day-to-day functioning of academic delivery processes; Ensure timely co-ordination and review of the student applicant files from Admissions;Work with the Academic Operations department in the compilation of timetables for all intakes ensuring that the timetable meets the contact hour needs of programmes;Manage teaching staff and direct reports such that their performance and behaviour meets or exceed the requirements of their jobs; Drive process improvements to optimise operational efficiency across all aspects of faculty management; Oversee the management of faculty contracts, onboarding, and compliance with College policies ;Ensure all academic Faculty members follow academic cycle operations in the College, e.g. submission of exam papers, attending Examination Boards, Boards of Studies, recording assessment marks, and others, including monitoring and performance management as appropriate. Stakeholder Collaboration Work closely with academic programme leads and heads of department to ensure alignment of teaching and learning activities with academic outcomes; Act as a key point of contact for faculty-related matters, addressing and resolving issues promptly; Collaborate with HR and recruitment teams to attract, onboard, and retain high-quality faculty members. Strategic Leadership Contribute to the development of academic programmes by providing input on faculty capabilities and expertise Provide regular reports and updates to the Academic Dean and senior leadership on staffing, operational metrics, and faculty performance Working with the Academic Dean, enables the continuous professional development of all Faculty members and its recording in the College records of scholarly activity and CPD Financial Management Responsible for the annual teaching budget taking account of all expenditures necessary to run all elements of academic delivery, reviewing on a monthly basis; Work with the Finance Department to ensure effective expenditure and cost controls are in place so that costs are minimised and fluctuations in revenue are balanced; Review and sign off on payments to part-time staff through a timesheet or equivalent process Ensure that all teaching and other contracts are fully utilised within an academic year and that any sustained underutilisation is addressed by additional, appropriate work or, in consultation with HR, a contract change.
