Job Title: Executive Assistant

Key Responsibilities:
1. Oversee diary management, travel arrangements, accommodation, transfers, and itineraries.
2. Support teams with administrative tasks such as organising team meetings, preparing reports, capturing minutes, tracking actions, and assembling presentations.
3. Manage emails, screen calls, handle inquiries, and action incoming communications.
4. Prepare rooms for meetings and events, ensuring all spaces are pristine and ready for action.
5. Organise company events, from internal gatherings to external client and broker functions.
6. Be the first point of contact for visitors.
7. Manage post distribution, arrange couriers, and oversee the business taxi account.
8. Manage kitchen supplies and ensure efficient, cost-conscious inventory control.
9. Oversee the onboarding process for new employees.
10. Conduct quarterly checks of First Aid Boxes and support other health and safety requirements.
11. Ensure the office remains clean, functional, and well-maintained by coordinating with service providers for repairs and upkeep.
12. Assist other teams with ad hoc projects, showcasing your versatility and team spirit.
Skills and Qualifications:
1. Experienced Executive Assistant with a proven track record in a busy office environment.
2. Excellent Microsoft Office skills and experienced with SharePoint and SAP.
3. Outstanding communication skills, capable of engaging at all organisational levels.
4. Excels in fast-paced environments and meets deadlines with ease.
5. Maintains the highest standards of discretion, confidentiality, and sensitivity.
6. Exceptional time management and multi-tasking skills.
7. A keen eye for detail that ensures excellence in every task.
