We are excited to offer a fantastic opportunity for a Receptionist to join our team at one of our newest client sites in Dublin, Ballsbridge.
As the first point of contact, you will play a key role in delivering exceptional front-of-house services, providing a warm and professional welcome to both visitors and colleagues. Your role is vital to ensuring smooth operations and maintaining the highest standards of customer service.
Key Responsibilities:
* Greet visitors and colleagues with a professional, friendly manner, ensuring they are signed in as per the property’s procedures.
* Escort clients to their hosts promptly and efficiently.
* Manage meeting room bookings via phone, email, or in-person requests, ensuring all details are recorded accurately.
* Maintain a clean, organized, and welcoming Front of House area; report any issues promptly through the Help Desk system.
* Coordinate with the onsite catering team to ensure all requests are fulfilled accurately and on time.
* Ensure meeting rooms are well-stocked with necessary supplies (pens, paper, etc.) and prepared for meetings or events.
* Communicate any key visitors or events to the Facilities Manager in advance.
* Assist with the preparation of meeting rooms, ensuring all catering and refreshments are set up on time and the room is left tidy for the next session.
* Answer all internal and external calls promptly and professionally, transferring or forwarding as necessary. Take and record messages accurately.
* Contribute to a collaborative, team-oriented culture by sharing best practices and participating in regular meetings.
* Adhere to all Health & Safety and security protocols, as well as client and Cushman & Wakefield procedures.
* Perform daily floor walks to ensure all facilities (lighting, cleanliness, IT equipment) are functioning properly, reporting any issues to the relevant helpdesk.
Required Skills & Experience:
* Strong customer service background with a focus on delivering exceptional experiences.
* Excellent communication skills with a polite and confident telephone manner.
* Ability to work efficiently in a fast-paced environment while managing multiple tasks.
* Proficient in Microsoft Outlook, Excel, and Word, and comfortable using booking systems.
* A solid educational background with a keen eye for detail and professionalism.
* Prior experience in a customer-facing role is essential, ideally in a front-of-house or receptionist position.
