Office Assistant Job Description
We are seeking an experienced and organized Office Assistant to manage the facilities and administration of our sites. This role will involve a range of responsibilities, including facilities management, HR support, and coordination with suppliers.
Main Responsibilities:
* Facilities Management
o Work with the procurement team to ensure office supplies and resources are restocked in a timely manner.
o Maintain the appearance of our offices, ensuring they are clean and well-presented for visitors.
o Coordinate security management for our office footprint, including managing access and responding to incidents.
o Act as the primary point of contact for office maintenance issues, suppliers such as air conditioning and building contractors, and cleaners.
* Administration Support
o Manage post distribution and booking of couriers as needed.
o Assist the human resources team with administrative tasks.
o Coordinate travel arrangements for occasional trips to other Ireland sites.
* Health and Safety
o Ensure compliance with health and safety procedures and regulations.
o Maintain accurate records of training for fire marshals and first aiders.
o Provide guidance and support to colleagues on health and safety matters.
