Position Description
The IT Delivery (ITD) Plan & Develop Team is looking for a dynamic Knowledge Management & Stakeholder Specialist to join the team. It’s an exciting time for the team, as the energy industry and ESB is going through transformational changes at an ever-increasing rate. We need to support our people with the right knowledge and communications to drive knowledge management, capability development and create great employee experience as we move along the critical path to strategic success.
The successful candidate will work within the IT Plan & Develop team, supporting ITD and Knowledge Management initiatives across the business unit on all areas of Knowledge Management, sharing of information, best practices, internal marketing, stakeholder engagement and employee communications. They will be responsible for the planning, development and execution of internal communications across ITD, to meet the needs of the different stakeholders and with appropriate alignment with centrally.
Key Responsibilities
Knowledge Management
1. Develop and manage knowledge repositories, knowledge assets, content libraries, ensuring all documents, resources and information are up to date and easily accessible.
2. Promote knowledge sharing and collaboration through various platforms and tools.
3. Conduct regular training sessions and workshops on knowledge management practices & best practices.
4. Draft and distribute internal newsletters, announcements, and updates.
5. Organize and facilitate knowledge management internal events, meetings, workshops, and training sessions to promote capability development and knowledge management.
6. Collaborate with subject matter experts to develop technical documentation and guides.
7. SharePoint Management for ITD Plan & Develop and Knowledge Management.
8. Oversee the creation, maintenance and governance of internal SharePoint sites to ensure they meet the needs of ITD.
9. Manage ITD user permissions and ensure that all information storage meets company policy.
10. Support ITD SharePoint owners and align ITD areas with SharePoint standards.
11. Provide ITD training, communicate expertise and support to employees on how to effectively use SharePoint for collaboration and knowledge sharing ensuring that the look and feel is professional and easy to navigate.
12. Utilise SharePoint analytics to track usage and engagement and generate reports to inform decision-making and strategy adjustments.
Internal Stakeholder Engagement & Communications
1. Plan, launch and evolve an ITD internal communications plan and calendar that aligns with the needs of the business unit and keeps all ITD areas informed and engaged.
2. Develop and implement integrated creative communication campaigns, primarily focusing on increased awareness, engagement & understanding of ITD initiatives and achievements that help us to deliver ESB strategy, our business targets, improve employee capability and engagement.
3. Build relationships across ITD to ensure maximum communications effectiveness, collaboration, clear and consistent messaging for positive stakeholder engagement.
4. Create, edit, and manage content for internal communication materials. Incorporate digital delivery and recording tools as appropriate.
5. Construction of Knowledge Packs for targeted initiatives.
Employee Engagement Groups
1. Support employee engagement groups gain traction within ITD such as Sustainability, Wellbeing, ensuring that initiatives and staff involvement is appropriately coordinated and recognized.
2. Safe & Sound (Our Voice) – Help to embed Safe & Sound approach in the ITD business unit.
3. Work with employee engagement groups to deliver their initiatives and plans.
4. Work on communication and engagement with employee engagement groups to embed regular communication on initiatives.
5. Event Management - coordination of employee engagement groups events, training, upskilling.
6. Act as ITD liaison with employee engagement groups.
Experience and Qualifications
1. Minimum of 4 years’ experience in a relevant communications role – internal communications, PR, employee engagement, marketing or a similar role.
2. Strong analytical, strategic planning and organisational skills with ability to project manage.
3. Experience of building a communications strategy and relevant measurement.
4. Previous experience working with/supporting senior leadership communications.
5. Strong social skills, particularly networking, collaboration, stakeholder management, active listening and influencing/negotiation.
6. Excellent English skills – both written and verbal, including a facility for storytelling and the ability to translate complex information into plain English.
7. Creative thinker with excellent presentation and personal communications skills.
8. Strong brand awareness/experience.
9. Be agile and possess the ability to adapt quickly to constantly changing needs.
10. Strong project management and organizational skills.
11. Extensive experience in content management systems, social media and Microsoft Office Suite including SharePoint.
12. High level of attention to detail.
13. Relevant 3rd Level qualification or equivalent work experience required.
14. Experience of working in a complex/matrixed organisation with multiple business units and diverse audience needs.
15. Proven judgement and initiative in identifying blockages to the development of best practice employee communications strategies and developing solutions to overcome these.
16. Experience with change management communications.
17. Hold a 3rd level qualification in a relevant field - Communications, Marketing, Psychology, PR or similarly complementary field.
Location
This position will be based in ESB’s Head Office at Fitzwilliam 27, Dublin 2.

The successful candidate may work flexibly within their jurisdiction with attendance at the workplace for in-person collaboration on at least one anchor day per week. All smart working arrangements are subject to manager approval and ongoing review, based on the operational requirements of the role, the team, and the individual.
