Job Objectives
The role of Operations Administrator is to contribute to the daily Operations within Nua healthcare. This role requires a proactive approach to providing comprehensive administrative support to the Management Team and relevant departmental functions.
This will include the following on a day-to-day basis:
* Supporting people with their daily plan.
* Providing administrative support to the Chief Operating Officer extending to the entire department as directed.
* Maintaining appropriate records and compiling reports in relation to Mental Health, Community Residences and Approved Centres.
* Attending all required meetings, taking and distributing meeting minutes to all relevant recipients.
* Responsible for ensuring that the standard reporting procedure is followed at all times.
* Ensuring all policies relating to the centres are reviewed and updated regularly, as required.
* Updating internal control documentation.
* Partaking in Quality Improvement Projects.
* Creating and maintaining a central file of all enquiries.
* Maintaining up-to-date records retained in IT systems.
* Dealing with all correspondence, email, calls, reporting etc.
* Complex diary management where requested.
* Coordinating centre meetings inclusive of both agenda and meeting minutes.
Skills Requirement
Knowledge:
* Knowledge of standards and legislation relevant to the area.
* Extensive knowledge and understanding of technology required to complete the role.
* Excellent knowledge of the process surrounding safeguarding procedures.
Experience
* Experience of engaging with external agencies (MHC, HSE, Tusla etc.)
* Previous experience in a similar role.
Skills
* Strong leadership and people management skills.
* Excellent organisational skills / self-motivated / self-starter.
* Excellent verbal, written communication, and IT skills.
