We are seeking a Personal Assistant (PA) to join our Insurance team who act for leading domestic and international clients. This role offers an exciting opportunity for the right candidate to work with a busy and approachable team, alongside other PAs in Ireland’s leading law firm.
The PA will be responsible for providing an end-to-end secretarial service. This is an ideal role for a high organised and enthusiastic PA who enjoys working with a broad spectrum of people across an organisation.
About this Opportunity
This role will include:
* Taking ownership of monthly invoicing ensuring accurate compliance with client requirements
* Liaising with clients on invoicing queries and outstanding invoices with Credit Control team
* Assisting with client on-boarding procedures and processes, arranging Letters of Engagement and maintaining e-files
* Accurate typing and production of emails and documents from dictations and mark ups
* Managing travel arrangements and accommodation requirements for partners and other team members
* Supporting business development administration including internal and external committees
* Extensive diary and email management including proactively monitoring and taking action where needed
* Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant document management systems (i.e. iManage platform)
* Collaborating/liaising with team lawyers and PAs, collaborating with cross-departmental teams
* Arranging MS Teams/Zoom conference calls set-up
* Managing expenses on behalf of allocated staff
* Creating and coordinating PowerPoint presentations
* Working with IT Team for arranging meetings and seminars
* Updating and managing lawyers’ CPD records
* Managing and maintaining Excel Client Distributions Lists
Requirements
The ideal candidate will have:
* A minimum of 3 years’ experience as a PA supporting senior staff in a professional services environment
* Advanced working knowledge of MS Office including PowerPoint and excel with ability to deliver high quality, accurate work
* A post-leaving certificate qualification e.g. a diploma/certificate in secretarial studies however, relevant work experience will be considered in lieu
* A high level of integrity, discretion, and trust with confidential information
* Adaptable approach to work, and proven ability to work unsupervised as part of a team
* Highly organised with exceptional attention to detail
* Desire and ability to work as part of a PA team supporting partners and others
