Legal Administrator
Firm Responsibilities:
* Provide high-level administration and support to Fee Earners, Operations Manager, and Reception.
* Audio typing, formatting, and editing of documents and correspondence.
* Preparation and scheduling of court bundles, legal briefs, legal reports, and documents.
* Drafting letters including demand letters and following up with third parties regarding the same.
* Billing administration: generating invoices and credit notes for fee earners.
* Producing time reports.
* Verifying bank account details and requesting bank transfers in line with procedures.
* Post administration.
* Printing and scanning.
* Document and email management, including use of integrated applications for central system management, file sharing/receiving, and PDF editing.
* Ongoing file management, including opening and archiving of files (electronic and paper-based).
* Providing regular reception cover, including meeting room diary management, catering management, boardroom, and AV setup duties.
* Meeting and greeting clients, guests, and visitors.
* Ensuring all day-to-day office and reception procedures and practices are adhered to.
* Booking couriers and taxis.
* Updating content management on the firm's website.
* Liaising with OM regularly to create a solution-focused, engaging, and supportive work environment.
* Performing ad-hoc duties as required.
Requirements:
* At least one year's experience in the legal industry.
* Excellent interpersonal and listening skills.
* Excellent attention to detail.
* A proactive and professional attitude with strong communication skills is essential.
* Skilled in Microsoft Outlook, Word, and Excel.
* Dictation/transcription experience. Minimum 55 WPM.
* Strong IT and system skills.
* Keyhouse experience or similar document management/case management experience would be an advantage.
* Good numerical skills.
* Enthusiastic, motivated, with a 'can-do' attitude.
* Capable of working on their own initiative but with a team-oriented mindset.
* Ability to adapt to new processes and procedures in a progressive environment.
