The Facilities Coordinator is responsible for the operational coordination of all on-site Facilities services and the associated contractor personnel, providing high-quality customer service and experiences, creating a fun and safe place to work. This includes office administration, events, provision of all soft service activities, health & safety activities, and ad hoc service requests.
* Responsible for supporting the day-to-day FM service delivery, providing a five-star workplace experience.
* Provide support to the team in relation to all FM matters and front-of-house services.
* Actively support the Workplace Manager.
* Point of contact between Client and Service vendors.
* Management of financial processes.
* Event coordination and management.
* Support the Workplace Manager with the day-to-day operations and management of the maintenance programs relating to the interior and exterior conditions of the buildings to ensure these are carried out in a manner consistent with the Service Provider’s policies & directives.
* Excel in the delivery of KPI's and SLA's.
* Financial responsibility for preparing and managing operational and capital budgets.
* Managing outsourced service providers to ensure satisfactory performance and compliance with contract obligations.
* Input into the FM Health & Safety program to ensure compliance with all relevant workplace Health & Safety legislation and compliance with companies’ policies and procedures.
* Ensure Facilities Coordinators effectively process operational data accurately and on time.
* Validate and review all monthly reporting activities and identify trends and patterns, recognizing excellence or initiating improvements when required.
* Be a proactive ambassador for your building and provide solutions to issues when required.
* Build and develop a trusting relationship with the client through continuous communication.
Person Specification
* IOSH qualification in health & safety or equivalent.
* Fluency in written and spoken English language.
* Excellent communication skills, adapts style to varying situations, engages and informs others.
* Possess a high level of IT literacy.
* Applies strategy to bring creative and innovative solutions to the table.
* A strong understanding of good health & safety practices and promotes a strong Health & Safety culture.
* Commercially aware.
* Experience promoting high-quality Customer Service and customized service.
* Experience of managing contracts, operating to processes and procedures, with supervision of contractors.
