OD Executive Assistant, HR & OD, Dublin (2025-12)
Job Purpose:
Works with OD Team and internal stakeholders to support individual, team and organisation wide initiatives in the areas of learning and development, engagement and effectiveness.
The successful candidate will report directly to the Organisational Development Manager.
Key Responsibilities:
1. Onboarding –
* Manages the day one experience for new joiners and ensure best practice handover to the relevant manager.
* Manage the quarterly strategic induction process to maximise positive employee experience across day one in our Dublin HQ and the two-day regional familiarisation.
1. Learning & Development –
* Supports Learning Academy delivery through effective scheduling, promotion, coordination, monitoring, evaluation and effective reporting of training initiatives by maintaining relevant data on the management information system (MIS).
* Support OD Executive in all aspects of the Tuition Aid process from capturing data from the performance and development system, communicating outcomes and administration around financing and completions.
2. Performance & Effectiveness –
* Manages the probation review process for all new joiners, ensuring manager and employee completion.
* Supports the annual Performance and Development process through provision of systems support, communication, monitoring and production of reports for the performance and development review boards.
* Supports the OD executive and external suppliers in the delivery of IDA Mentoring and coaching programmes.
3. Communications -
* Manages the learning email box and communicates effectively with internal stakeholders and suppliers.
* Liaises with all specialists within HR&OD team to bring together relevant and engaging content for the monthly HR&OD newsletter to all staff.
* Prepares the monthly HR&OD report for circulation to the Management Committee.
4. Employee Engagement -
* Assists OD Executive and relevant supplier in preparing for and executing the Employee Survey.
* Supports OD Executive in coordination of post survey interventions.
5. Early Careers –
* Supports the IDA Graduate programme Lead in the coordination of graduate programme rotations and events.
* Plays active role in the graduate recruitment process to include supporting delivery of multiple assessment centres.
6. HR Systems –
* Active role in implementation and roll out of LMS (Learning Management System) and TMS (Talent Management System).
* Maintains and validates data on the LMS and TMS.
7. HR Operations –
* Supports recruitment competitions at level B as required.
* Provides cover support for HR Operations level B as required.

Additional Requirements:
* Ability to work well under pressure, flexibly as a member of a team and independently on own initiative in terms of time worked and tasks undertaken.
* A relevant Level 8 third level business/sector related degree recognised on the National Qualification Framework is essential.
* Experience in the area of HR is preferable but not essential.
* Excellent IT skills in areas of PowerPoint, Word and Excel.
* Absolute confidentiality and discretion will be expected.
* This role will require limited domestic travel and flexible working hours.
Salary Scale:
€26,304 to €44,029 per annum contributory superannuation (New entrants must start at the minimum of the scale)
Rising by long service increments to €45,326 (after 3 years satisfactory service at the maximum of the range) and rising to €46,640 (after 6 years of satisfactory service).
