The Opportunity
We are seeking a highly skilled and experienced Accounts Receivable Manager to lead our accounts receivable team. This role is crucial to ensuring the timely and accurate collection of payments from customers while managing the AR team’s day-to-day activities. The AR Manager will work closely with internal departments (Sales, Customer Service, Finance) and external clients to resolve payment issues, optimize collection processes, and maintain the integrity of customer accounts. The successful candidate will be a strong leader with a deep understanding of financial systems, excellent communication skills, and the ability to streamline and automate AR processes for efficiency.
* Lead and mentor a team of accounts receivable specialists to ensure timely and accurate processing of customer invoices and payments.
* Set team goals, conduct performance reviews, provide feedback, and ensure continuous training and development to build a high-performing team.
* Ensure adherence to company policies, accounting standards, and regulatory requirements related to receivables.
* Manage staffing levels, workflows, and processes to ensure the AR team operates efficiently and meets departmental targets.
* Accounts Receivable Management:
o Oversee the end-to-end accounts receivable process, from invoicing to collections, ensuring accuracy and timely follow-up on outstanding balances.
o Manage the preparation and distribution of customer invoices, ensuring that they are accurate, complete, and in line with agreed terms.
o Review and approve credit applications, establish credit limits, and monitor customer credit risk to minimize bad debts.
o Collaborate with the Sales team to resolve any billing disputes or discrepancies.
* Cash Collections & Aging Management:
o Develop and implement strategies for effectively managing accounts receivable aging, reducing overdue balances, reducing DSO and improving cash flow.
o Oversee collections efforts, ensuring timely follow-up on overdue accounts through phone calls, emails, and formal collection letters.
o Monitor and report on the aging of accounts, identifying trends and working proactively to resolve any delinquent accounts.
o Conduct regular meetings with the team to review high-risk accounts, strategize on collection efforts, and ensure continuous improvement in collection rates.
* Process Optimisation & Automation:
o Lead efforts to streamline and automate accounts receivable processes, including invoicing, payment collections, and dispute resolution.
o Collaborate with IT and other departments to integrate new technologies (such as AR software or EDI invoicing) to improve AR workflow efficiency.
o Identify and implement process improvements, including reducing manual interventions and improving automation in the invoicing and payment processes.
* Customer Account Management & Relationship Building:
o Foster positive relationships with key customer accounts, acting as a point of escalation for billing and payment issues.
o Collaborate with the Customer Service and Sales teams to address customer concerns, resolve disputes, and ensure timely payment resolution.
o Provide proactive support and guidance to customers regarding payment terms, invoicing procedures, and system usage (including portals or EDI).
* Reporting & Analysis:
o Prepare and present regular reports on accounts receivable performance, including aging reports, collection effectiveness, and cash flow impact.
o Analyze AR trends, cash receipts, and bad debt provisions to provide actionable insights to senior management.
o Assist in the preparation of monthly and year-end financial reports, ensuring the accuracy of AR balances and provisions for doubtful accounts.
* Compliance & Internal Controls:
o Ensure compliance with accounting standards, company policies, and industry regulations.
o Develop and maintain internal controls for managing AR processes to safeguard the company’s financial assets.
o Assist with audits and provide relevant AR documentation as needed.
o Stay up-to-date on industry trends, legal changes, and credit management best practices.
Skills & Experience
* 5+ years experience in a similar role.
* Hands-on experience with accounting software (SAP experience is a distinct advantage).
* Experience managing and motivating a team.
* A logical, methodical approach to problem-solving.
* Excellent numerical skills and strong Excel skills.
* Ability to work on own initiative.
* Strong organisation and planning skills.

* Knowledge of automation tools or technologies for improving AR efficiency, such as AR software or cloud-based invoicing portals.
