Join our dynamic law firm's Operations Team as an Operations Executive. We're seeking a proactive individual to lead our staff training initiatives, with a key focus on software proficiency in Practice Evolve, our legal software. You will join an enthusiastic team, who are responsible for managing and co-ordinating the Firm’s central operations, IT and facilities functions.
The main responsibilities for this role include:
Onboarding and offboarding of staff members, including IT hardware set up, and first-day induction with new starters.
Coordinate with different departments for seamless onboarding.
Deliver training programs in respect of commonly used systems / processes, assisting the Senior Operations Executive.
Develop onboarding materials for new hires and identify training needs through assessments.
Monitor and report on the effectiveness of training programs.
Assist with the resolution of common IT issues, escalating to IT vendors as required.
Other core responsibilities for this role include:
Manage file processes (soft & hard), including file creation, conservancy and archiving, whilst ensuring all are in good order to provide accurate information.
Support the administrative workload of the Firm; (Daily post, DX, registered post, scanning, collections, deliveries, etc).
General office administration, developing and implementing initiatives to improve administrative efficiency.
Assist on administrative and operational projects as required, including internal and external audits.
Ensuring the Firm remains compliant with industry regulatory requirements and monitor risk assessment activities.
Liaising closely with the legal teams, supporting the Senior Operations Executive in setting standards to meet quality expectations.
Supporting the Reception service including welcoming incoming mail, deliveries and visitors.
What Knowledge and Skills Will You Bring to FOD:
3-4 years' experience in office administration, IT or business operations.
Excellent working knowledge of the Microsoft Office Suite (including Outlook, Word, PowerPoint, Excel and Teams).
Proven ability to be self-motivated and independent; as well as the ability to work cohesively within a team.
Knowledge of office administration processes, systems and procedures.
Adaptable and comfortable with handling a range of tasks in a fast-moving environment.
A creative and determined problem solver.
Meticulous attention to detail, flexible and very well organised.
Friendly, confident and people orientated.
Excellent communication skills, good telephone manner and fluency in both written and spoken English.
Desirable:
Experience and knowledge of legal CRM / Practice Evolve software.
Experience working in a busy general legal practice.
