This prestigious project is expected to last for 24-26 months, and we are looking for a talented Document Controller to manage project documentation and support information management across the project team.
Role Overview: As a Document Controller, you will be responsible for ensuring the seamless management of project-related documents and maintaining the Information Management System for the construction project.
Your key duties will include organizing, archiving, and controlling the intake and handling of documentation, all while ensuring compliance with security and privacy requirements.
Key Responsibilities: Document Management: Set up, scan, store, and organize physical and digital documents, ensuring easy access and version control.
Template Creation: Develop and maintain standardized templates for consistent documentation.
Documentation Requests: Manage requests for documentation from internal teams and external stakeholders.
Version Control: Ensure the latest versions of documents are easily accessible and properly archived.
Records Accuracy: Maintain and update documentation to ensure accuracy and completeness.
Compliance: Ensure all documents adhere to relevant standards and regulatory requirements.
Security: Distribute project information securely while maintaining confidentiality for sensitive documents.
Reporting: Prepare regular and ad-hoc reports related to project documentation.
Team Training: Provide training to team members on document management processes and systems.
Qualifications & Skills Required: To be considered for this Document Controller role, you should possess the following qualifications and experience: Proven Experience: Previous work experience as a Document Controller or in a similar role, ideally within the construction industry.
Construction Experience: Experience in managing documents on construction projects, particularly in roads or highways projects, is highly desirable.
Security Clearance: Ability to obtain necessary security clearances required for the role.
Technical Skills: Proficient in SharePoint, MS Office, and MS Excel.
Experience with other document management software and Common Data Environments (CDE).
Attention to Detail: Strong focus on accuracy, data organization, and version control.
Communication Skills: Excellent communication and interpersonal skills, with the ability to liaise effectively with various teams and external parties.
Time Management: Strong ability to prioritize tasks and meet deadlines.
Analytical Skills: Capable of solving document-related issues with an analytical and detail-oriented approach.
