Job Overview
Jensen Hughes has an opportunity for an experienced detail-oriented Administrator. Supporting our teams of Engineers, this role will be performed from our Dublin office.
Job Types: Part-time, Permanent (16 hours per week with a degree of flexibility in the schedule)
This role performs critical administration tasks supporting the smooth running of the organisation across Northern Ireland and the Republic of Ireland. You will provide first-class administrative support to all aspects of the business, with a key focus on ensuring client accounts are kept up to date.
As a business, we work for clients consulting and advising on fire engineering.
Responsibilities
* Project admin, inputting project information, billing and client info onto Sharepoint.
* Accurate record management - invoice input.
* Invoice reconciliation.
* Following up with clients for payment of overdue invoices.
* Handling telephone calls, forwarding to the relevant party, taking messages, assisting with client queries.
* Supporting to manage general inboxes.
* Ad hoc team queries and requests for administration support.
* Completing questionnaires for accreditations such as Alcumus SafeContractor, Constructionline, and Avetta.
* Completing prequalifying questionnaires for tender bids.
* Scanning and archiving project documents.
* Arranging and booking travel tickets for senior members of staff when they need to attend meetings away from the office.
* Purchasing of equipment and supplies.
Requirements and Qualifications
* This role would suit someone with experience within a professional services or consultancy firm ideally with exposure to invoicing and financial processes.
* A confident communicator happy to liaise with engineering staff at all levels in the organisation and external customers.
* Experience in a self-driven administrative role with many conflicting priorities.
* Experience with detail accuracy relating to financial data.
* Ability to use own initiative and as part of a small team but know when to seek input from others.
* A professional, flexible, and pragmatic approach.
* Excellent IT skills (particularly Microsoft packages) and the ability to readily pick up new tools and packages.
