Operations Co-ordinator Job Description
The Operations Co-ordinator will report to the Directorate Service Manager and work a 35-hour week as an agency employee.
Purpose of the Role
To support an efficient and effective administrative service for one of the departments within the directorate, ensuring high-quality standards and best practice protocols are met.
Responsibilities
1. Accountability: Coordinate tasks and responsibilities of administration staff, ensuring efficient administration that meets the highest quality standards.
2. Manage and coordinate lists according to national guidelines.
3. Respond to daily operational issues that may arise in the management of the area of responsibility.
4. Access/Flow: Understand demand and capacity metrics, review performance indicators (KPI's), and measurement targets with the Directorate Services Manager and the directorate team.
5. Support the development and monitoring of action plans to address variation in demand and capacity.
6. Support standardisation of patient flow processes for effective appointment management.
7. Maintain data collection requirements for service evaluation.
8. Quality: Assist the Directorate Services Manager and Nurse managers to ensure services are organised and delivered to the highest standard possible.
9. Address and review complaints and incidents in a timely manner.
10. Audit data quality to minimise errors and develop follow-up and training plans.
11. Team Management: Manage all administrative staff within the area of responsibility, promoting a responsible and accountable culture amongst staff.
12. Ensure all mandatory training is undertaken and promote and facilitate staff training and development as required.
13. Manage electronic CORE HR Resources and planning, raising orders and requisitions on SAP, and overseeing stock management.
Academic/Professional Qualifications and/or Relevant Experience
Have not less than two years' satisfactory experience in an administrative capacity within the Public Sector / Hospital / Health Care or other environment relevant to the role. Possess sufficient administrative capacity to discharge the functions of the grade.
Technical/Clinical Competencies Required
* Excellent Keyboard Skills
* Proficient in MS Office
* Familiarity with Hospital key performance indicators (KPI's)
