Our client is seeking an Operations Coordinator to play a key role in ensuring the smooth running and continued growth of their company in Galway.
Key Responsibilities:
* Manage office administration, including email inboxes, meetings, events, and travel arrangements.
* Handle post, answer calls, and correspond with clients as needed.
* Maintain document filing systems and oversee office inventory.
* Assist team members with IT issues and coordinate with IT colleagues as necessary.
Financial Management:
* Manage company credit cards and reimburse personal expenses.
* Generate WIP reports and assist with annual audit and VAT returns.
* Monitor bank accounts and respond to client account enquiries.
* Raise invoices, credit notes, statements, and deposit requests.
* Credit control and correspondence with clients to resolve overdue account balances.
Business Development:
* Support marketing efforts by attending networking events and coordinating marketing materials.
* Arrange social media posts and maintain records of events and registrants.
* Foster business development activities to expand Irish presence.
Human Resources:
* Assist with recruitment, including job advertisements, liaising with agencies, and organizing interviews.
* Manage HR records and onboarding for new hires.
