Job Description
Overall Purpose of the Job:
The facilities coordinator will manage and coordinate various Facilities Management Contracts, working closely with an existing team headed by a facilities manager. Services include Facilities Management, Hard and Soft Services, Ad hoc projects, and back-office administration.
Main Duties and Responsibilities:
* Coordinate staff in executing duties outlined on PPM and fully manage reactive Work Order requests daily intake.
* Ensure timely execution of all Work Orders within permitted parameters and contractor PM's POC.
* Monitor Key Performance Indicators and escalate known issues to the facilities manager.
* Review and approve subcontractor invoices and verify works are done (reports & dockets).
* Ensure Service Inspections are carried out in detail, documented, and executed in a timely and efficient manner.
* Coordinate contractors attending site and ensure relevant documentation is in place prior to work commencing.
* Maintain consistent compliance with company Health, Safety & Quality policies and procedures.
* Efficiently manage utilities, monitors, and document consumption levels. Support Energy Management by utilizing the Building Management System (BMS).
* Manage cleaning chemicals and consumables, ensuring sufficient levels are maintained.
* Maintain high standards for in-house audits and projects in accordance with company KPI/SLA lines.
* Provide accurate reports on staff issues, PPMs, and reactive works on a monthly/quarterly basis.
* Support security, events, business continuity, and reception services as needed.
* Promote safety within the building and be an Apleona ambassador.

Qualifications and Experience:
* A minimum of 3 years' experience coordinating Hard and Soft Facilities Services.
* Experience in managing people and KPIs.
* Facilities management qualification or suitable qualification in a business or technical field.
