Executive Assistant to Chief Executive Officer
We are seeking an Executive Assistant to the CEO to join our team at Mediolanum.
This role will coordinate and manage the complex scheduling of the CEO agenda for meetings and strategic activity. On a daily basis the successful candidate will support with diary arrangements, meetings, travel and communications. The role will also require you to assist with related office administration and support tasks across the entire business as well as event organisation and any queries relating to the office of the CEO.
The dynamic nature of this role requires that the ideal candidate have exemplary time management skills and the ability to identify and anticipate the CEO’s needs. The role holder will interact seamlessly and with a professional demeanor across a broad range of individuals including members of the Senior Leadership Team, Board of Directors, and leaders that report to the CEO. To perform this job successfully, the individual is expected to handle highly sensitive and confidential financial, legal, personnel and institutional information while exercising professionalism and discretion.

Principal Duties of the position, including but not limited to:
1. Acting as a first point of contact for the CEO: dealing with his correspondence and incoming phone calls.
2. Managing diaries and organising meetings and appointments across multiple countries.
3. Booking and arranging travel, transport and accommodation.
4. Organising events and conferences.
5. Providing reminders of important tasks and deadlines.
6. Minute taking during meetings when required.
7. Typing, compiling and preparing reports, presentations and correspondence on the CEO’s behalf when required.
8. Managing databases and filing systems relevant to the CEO’s activity.
9. Implementing and maintaining procedures/administrative systems.
10. Liaising with all employees, suppliers and external clients and parties.
11. Managing expenses for the CEO.
12. Manage travel arrangements and organize personal commitments as required.
13. Occasionally covering, if required, the front desk/reception in case of absence or holiday periods.
Skills and Competencies:
1. A calm and professional approach to a fast paced and high pressure environment.
2. Strong motivation with the ability to work on own initiative.
3. Attention to detail is key with excellent organisation skills.
Qualifications and Experience:
1. At least 5 years’ experience as an Executive Assistant/ Personal Assistant.
2. Fluent Italian and English language required.
3. Degree in a relevant subject.
4. Must have proficient IT skills in Office environment.
