The Role
The Administrative Assistant for an Outside Broadcast (OB) company plays a crucial role in managing the logistics required for live, remote broadcasting operations. This includes coordinating the movement of specialised broadcast equipment, organising transport for crew and technical teams, and ensuring that all resources arrive on-site in a timely and efficient manner. The role requires a strong understanding of logistical planning, managing tight deadlines, and responding to changing circumstances in real-time.
Responsibilities
* Work closely with Unit Managers to ensure all travel and accommodation are booked for crews.
* Coordinate the transportation and timely delivery of broadcast equipment to outside broadcast locations across various cities, regions, or countries.
* Maintain accurate records of all crew and equipment movements, delivery receipts, and logistical arrangements.
* Organise international shipments, including customs clearance and handling permits for transporting technical gear across borders.
* Manage logistical changes in real-time during live events, addressing last-minute changes, delays, or issues with travel or accommodation.
* Support the operations team with the administrative tasks related to logistics, such as data entry, filing, and preparing logistics reports.
Skills and Qualifications
* Proven experience in logistics, preferably in the media, broadcasting, or live events industry.
* Strong organisational and multitasking skills, capable of handling complex logistics in fast-paced environments.
* Ability to manage the logistics for remote or international events, including navigating time zone differences and complex travel arrangements.
* Excellent communication and problem-solving skills to deal with real-time logistical challenges during live broadcasts.
* Familiarity with Microsoft Office Suite.
* Experience working in a high-pressure environment where flexibility and quick decision-making are essential.
Desirable Skills
* Experience in the media industry.
* Understanding of broadcast equipment and its unique transportation needs.
* Experience working in live event production or media broadcasting operations.
