An opportunity has arisen for a Business Administrator to join a SME in Santry, Dublin 9. This is a permanent, part-time position working 4 half days per week, i.e., 4 mornings per week.
Flexibility around working times will be required occasionally to attend meetings scheduled in the afternoon. Reasonable notice of any change to working times will be provided.
The successful candidate will be responsible for supporting a range of operational and administrative requirements in a timely, efficient manner. Providing professional administrative support to the teams during different phases of projects, this is the ideal role for somebody who is looking for a varied workload and opportunity to take ownership of a key office support role.
Responsibilities:
* General office administration to all teams as necessary
* Acting as PA to senior management
* Being the main point of contact for facilities/building management to include resolving and escalating maintenance issues, ensuring building is up to environmental and safety standards, coordinating alarm apps and building access codes, and meeting with the Managing Agent when required.
* Managing local office supply procurement
* Liaising with IT team to ensure smooth provision and operation of IT and equipment
* Organising events, meetings and external guests
* Health and safety responsibilities including reviewing and updating office H&S risk assessments, identifying concerns and recommending preventative measures, ensuring all company H&S certificates for Fire Wardens and First Aiders are current
* Providing support to HR with onboarding and offboarding employees and any other local HR requirements
* Preparation of board/general meeting packs and reports
* Attending meetings as note taker
* Document control e.g., maintaining files and organising post.
* Any other ad hoc duties as required
Background:
* Experience in a similar role working in small-to-medium sized firms.
* Experienced in PA/EA skills to support management up to senior level.
* Competent in MS Office products including Word, Excel and PowerPoint
* Events planning and coordination experience
