DescriptionThe Infrastructure Finance Administration Coordinator provides financial administration support to the Finance Administration Lead and the wider function ensuring compliance with corporate requirements and maintaining/improving operational efficiency within the infrastructure department.
The Coordinator will be responsible for processing all department invoices, timely payment of professional services and wider supply chain, developing/reporting on Opex budgets, validation of capitalised labour, and oversight/assurance of all CIP Capex expenditure.Responsibilities
Manage the development and implementation of new processes associated with P&L costs, capital labour costs and reallocation of costs.
Maintain records and ensure consistent/accurate management of payments on the daa contracts and financial systems.
Administer infrastructure time management software platform, including monthly reporting of daa timesheets, allocation of time to projects, Integrated Delivery Partner timesheets (for contract management), and overall operational efficiency.
Manage all general requisitions via Oracle iProcurement including requisition set up, upload of relevant documents for approver review, assigning approvers, requests for extensions, and receiving of payments once daa have received the goods or services.
Liaise with the procurement team, setting up CPA’s/BPA’s, review all new CPA’s/BPA’s. Keep a record of all COP’s processed.
Oversee coordination of payments between contract management software (Unifier) and Oracle iProcurment.
Check, review, and update iProcurement forms for activity across the individual projects, and programmes; to include setting up all new suppliers on Oracle systems.
Establish procedures and train colleagues (new & existing) on best practice processes and procedures.
Maintain capitalised labour reports, WIP reports and payments reports.
Responding to payment queries from contractors, consultants, and suppliers.
Change management: Attendance at change management boards, review of early warnings and variations for consistency with procurement, finance, and governance (project sanction).
QualificationsKnowledge, Skills & Qualifications
Qualified up to diploma level in Finance Administration
5+ years of experience in finance administration, including use of Oracle or other E-Business.
A proven track record of using accountancy software tools including, Oracle E-Business, Oracle Contracts, Oracle iProcurement and Concur.
Understanding and experience of programme controls software-based tools including Unifier.
Previous experience of documenting best practice accountancy and programme controls policies and standards.
Exposure to engaging with a range of stakeholders at all levels across the organisation.
A proven ability to influence the improvement of process and guidance to support project delivery.
The ability to interface with a large multidisciplinary team across multiple/concurrent projects.
Effective communication and interpersonal skills.
Excellent report writing skills and computer literacy across all the Microsoft packages.
