Hereby a shortlist of the items required by reception position:
* Welcoming clients and visitors upon arrival at reception.
* Collecting post in the morning from the Post Office, opening, date stamping, and distributing.
* Answering, screening, and forwarding phone calls in a professional and timely manner, ensuring clients receive responses if numerous messages are left, and using discretion to escalate if calls are not attended to.
* Scheduling and confirming appointments.
* Processing card payments or cash and issuing receipts in the receipt book.
* Posting phone logs on Keyhouse for each call that comes in and updating the customer dashboard.
* Processing invoices for the office and sending out supplier remittances.
* Observing business etiquette and maintaining a professional appearance.
* Directing the flow of mail, faxes, and deliveries to reach all Solicitors.
* Ordering and replenishing office supplies.
* Managing the maintenance and repair of office equipment.
* Preparing meeting facilities and arranging refreshments if required.
* Assisting with client queries, wills, or titled deed inquiries and redirecting to solicitors or support staff.
* Preparing evening post to go out with DX post and registered post.
* CPD: emailing solicitors’ courses, booking when interested, and arranging payment with the Accounts Manager if needed.
