Job Description:
iPMS and Digital Dictation Co-Ordinator Grade V
Principal Duties and Responsibilities:
* Setting up new user accounts and deactivating users.
* Updating author's accounts from different specialties and departments.
* Monitor activity on dictation system to ensure that there is no breach in relation to SLA.
* Monitoring unsigned dictation by NCHDs that have left the organization.
* Attend NCHD Induction programme and provide the required training on Digital Dictation.
* Organizing and developing staff training on dictation system.
* Problem solving and reporting for users on dictation system.
* Co-Ordinate iPMS Testing schedule in line with dates set out in the Group project plan and work with the Group Co-ordinator on progress and testing issues.
* Assist with any iPMS issues.
* Liaise with each relevant Department Head to establish a team for testing for all IPM modules specific to your site.
* Liaise with ICT Team to identify/schedule interface testing in line with the project plan dates.
* Review IPM test scripts and update accordingly relevant to workflows for each area, e.g. OPD, Admissions, etc.
* Assist in the preparation of testing setup for end user's testing.
* Ensure accurate attention to detail in own work and work of the team when testing for each of the various IPM modules, e.g. OPD, Admissions, etc.
* Document and keep an updated record of any bugs/issues identified.
* Log each issue identified on iAssist (iPMS Vendors System for logging issues).
* Review delivered bug fixes to validate they are working.
* Liaise with ICT team/IPM Group Co-Ordinator regarding any issues/bug fixes.
* Ensure end user/department sign off for each module within agreed timeframes.
* Provide support and assistance if required post Go Live.
* Lead in training initiatives to all relevant personnel.
* Attend meetings as required.
* Member of the iPMS Governance Committee.
* Ensure that Telehealth (Virtual Clinics) are set up correctly and maintained.
* Provide training to Consultants and NCHDs in relation to Telehealth.
* Ensure that patients have been contacted in relation to their appointments and reminders sent.
* Assist OPD Nurse Manager and CO5 OPD/SDU Supervisor in maximising clinics.
* Ensure that email addresses and consent from patients are collected in advance of the appointments.
Eligibility Criteria:
* Previous administrative experience of at least 2 years.
* Excellent communication, organisational and time management skills.
* Ability to work on one's own initiative or in a team environment.
* Knowledge of iPMS desirable.
* Excellent attention to detail.
* Possess excellent IT skills.
* Experience of problem solving and decision making.
* Ability to prioritise data requirements and reduce inaccurate MUH data.
* Experience of working in a busy office environment which has involved interacting in a professional manner with senior management and other key internal and external stakeholders.
