Operations Assistant Role Summary
This is an exciting opportunity to join our Operations Team as an Operations Assistant. The successful candidate will work closely with the School of Nursing and Midwifery, managing the student journey from application to graduation and beyond, along with ad-hoc projects and events that take place within the school.
Key Responsibilities:
• End-to-end student journey management from initial contact to graduations and alumni assistance
• Coordinate logistical and operational support for multiple programs
• Managing and developing advertising material for courses
• Managing program applications and student admissions, including verifying professional & education qualifications
• Managing and hosting registration and induction events for new students
• Managing online assessment submissions, written examinations, various other forms of assessments, and collating and delivering student results
• Working closely with the Student Fees office to ensure timely fee payments and the management of students in arrears
• Management of Virtual Learning Environments (Moodle), including module and user management
• Manage student progression through the School's student management system
• Developing regular reports for internal and external key stakeholders and partners
• Development of examination boards and student transcripts
• Working closely with Program directors to ensure External Examiners receive student data and reports as required
• Supporting program directors with timetabling needs and booking of rooms
• Assist in the running of the annual Graduation ceremony, including inviting students, ordering parchments, and event management on the day
• Assist in the management of the School's alumni database and alumni communication strategy
• To manage ad-hoc events which take place in the School, including but not limited to; master-classes, open evenings, and guest lectures
• Ensure all media meets RCSI branding guidelines
• Assist in actively marketing the School to the target audience
• Assist and develop online media management and online presence
• Undergoing programs of training and development as may be required from time to time
Required Knowledge & Experience:
• Strong organisational and administrative skills with the ability to focus on and produce results and prioritise objectives
• An effective communication style appropriate to audience and situation
• Strong results focus combined with excellent attention to detail
• Excellent customer service capabilities
• Strong, practical, and adaptable IT skills
• Advanced MS Excel, Word, and PowerPoint knowledge
• Flexibility to work in a changing environment
• The ability to work on their own initiative as well as in a team environment
