Grade III Clerical Officer
Job Summary: We are seeking a skilled and detail-oriented Grade III Clerical Officer to provide administrative support to our team.
Key Responsibilities:
* Provide office support, answer queries, and offer a reception/telephone service.
* Maintain accurate and up-to-date records, filing systems, and computerized/paper copies.
* Manage data, including maintaining, correcting, collating, interrogating, validating, and processing data.
* Assist in preparing reports as necessary.
* Offer required information and support to Service Managers and teams, team members, clients, patients, and the public.
* Action all communications in a timely manner.
* Undertake any other administrative tasks and assignments as directed.
* Represent the service in a positive manner.
Customer Service:
* Make phone calls to and take phone calls from members of the public.
* Use email as a form of communication when required.
* Promote and maintain a customer-focused environment.
* Earn respect for users by treating them with dignity.
* Act on feedback from service users/customers and report it to Line Manager.
Service Delivery and Improvement:
* Handle sensitive and confidential information according to GDPR guidelines.
* Participate actively in innovation and support change and improvement initiatives within the service.
* Identify potential problems/inconsistencies in a timely manner and consult with Line Manager as needed.
Standards, Policies, Procedures, and Legislation:
* Maintain knowledge of employer policies, procedures, guidelines, and practices to perform the role effectively.
* Understand relevant Health Information and Quality Authority (HIQA) standards, such as Standards for Healthcare and National Standards for the Prevention and Control of Healthcare-Associated Infections, and comply with TUSLA protocols as applicable.
* Support and promote sustainable energy, water, and waste initiatives to create a more environmentally friendly and efficient health service.
